Skoobfy — Privacy Policy

1. Who we are

2. Information we collect

We collect information necessary to provide the Services. This includes:

Account & Profile Information: name, email address, mobile number, school name, class/section, student ID, profile photo (if provided).
Parent / Guardian Details: name, phone, email used to manage student pickup, communications and permissions.
Student Identifiers: roll number, admission number and dual QR codes used for secure pickup and verification.
Payment & Billing: billing name, billing email, payment transaction id, subscription or one-time payment records, GSTIN if provided. We do not store full card numbers or CVV.
Device & Usage Data: device identifiers, IP address, device model, operating system, app usage logs, crash reports, analytics (for improving the app).
Location Data: with explicit permission, we may collect approximate or live location for features such as live bus tracking. You can turn location sharing off in your device settings.
Communications: messages sent between parents, teachers and admins (chat content); files you upload such as assignment attachments or photos.
Third-party Data: information received from third-party services you connect (for example, Google Sign-In).

3. How we collect information

Directly from you when you register, pay, submit forms, or use the app.
Automatically when you use the app (analytics, device logs).
From third parties such as payment processors, Google/Firebase, and schools that onboard students.

4. How we use your information

We use data to provide, personalise and secure the Services, and to communicate with you. Examples:

Provide core features: attendance, timetables, homework, results, QR pickup verification, live bus tracking, chat and notifications.
Process payments and refunds, issue invoices and receipts.
Detect and prevent fraud, abuse and other harmful activity.
Improve our Services through analytics and crash reporting.
Comply with legal obligations and respond to lawful requests.
Send transactional messages (fee reminders, OTP, registration confirmations) and optional marketing if you opt in.

5. Payments — fees, gateways and records

One-time school fee model: Skoobfy offers a licensing model charged at ₹159 per student (one-time) for schools that choose the paid version. This fee may be charged per student or per batch as agreed with the school administration.

Payment processing: We use reputable third-party payment gateways (for example, Razorpay, Stripe, or other local PCI-compliant processors) to process payments. When you make a payment:

Payment details such as card numbers and CVV are handled directly by the payment processor and are not stored on our servers by Skoobfy.
We store transaction metadata needed for receipts, refunds and accounting: transaction id, date, amount (₹159), payer name and email, and masked payment instrument details (e.g., last 4 digits).
Refunds and disputes will be handled according to the payment gateway’s policies and our refund policy. Contact support@skoobfy.com for refund requests.

Taxes & Invoices: Where applicable, GST or other taxes will be applied and shown on invoices. If you require invoices with GSTIN, provide your GSTIN at the time of purchase.

6. Sharing & disclosures

We do not sell your personal information. We may share data with:

Service providers: payment processors, cloud providers (Google Firebase / Firestore), analytics and notification providers who help us run the Services.
Schools / Administrators: student data is shared with the relevant school and authorised staff for educational and safety purposes.
Legal requests: when required by law or to protect rights, safety or property.
Business transfers: in case of merger or sale, personal data may be transferred as part of that transaction under confidentiality terms.

7. Data retention

We retain personal data as long as necessary to provide Services and fulfill legal obligations. Typical retention periods:

Account & profile data: until account deletion or school request.
Payment & billing records: retained for accounting and tax compliance (typically 7 years or as required by law).
Logs & analytics: for a limited time for troubleshooting and product improvement.

8. Children and student safety

As Skoobfy is used by schools and students (who may be minors), we take extra care:

Parents or authorised guardians must approve student registrations and manage QR pickup permissions.
We do not knowingly collect unnecessary sensitive information about children. If you believe we have collected information about a child without parental consent, contact us at support@skoobfy.com.

9. Cookies and similar technologies

We use cookies and local storage in web experiences for session management and preferences. You can control cookies through browser settings. Mobile apps use equivalent local storage and cached data.

10. Security

We implement reasonable security measures (encryption in transit, access controls, secure cloud infrastructure). However, no system is 100% secure — if you suspect a breach, contact us immediately.

11. Your rights (Access, Correction, Deletion)

You may request access to, correction of, or deletion of your personal data. School administrators may manage student data on behalf of the school. To make a request, contact: support@skoobfy.com. We will verify requests and respond as required by applicable law.

12. International transfers

Because we use cloud services (for example, Firebase), your data may be stored and processed in India or other countries. We take steps to protect transferred data under applicable law.

13. Third-party services & integrations

We integrate with third parties to provide features (Firebase, Google Maps, Razorpay, analytics providers, push notification services, etc.). These services have their own privacy policies: please review them before connecting.
